RTI has developed a simple process in RTI Payroll that enables you to easily handle employee qualification, reporting, recording, and tracking for the Affordable Care Act (ACA).

In an ongoing series of healthcare bulletins, RTI will highlight individual and important aspects of ACA compliance and how—with RTI—you can prepare your company to meet the new requirements.

In this bulletin, we will provide a recap of the healthcare features.

Healthcare Features

One of the first questions with healthcare compliance is determining who qualifies for healthcare. Although RTI cannot make any specific recommendations about which employees qualify for healthcare under the ACA, RTI gives you the tools you need to fully comply with the new reporting requirements.

Gathering data—specifically, historical employee hours—is the key to determining who might qualify for healthcare. RTI Payroll + Human Resources (HR) does this for you and provides two reports that show the results:

Average Hours Report

Allows you to observe different measurement periods and shows you which employees are averaging 30 or more hours weekly or 130 or more hours monthly and are, therefore, full-time employees, as defined by the ACA. A measurement period can be between 3 and 12 months. The report also generates a file—the Average Hours File—for sending to your healthcare consultant. This file has been enhanced with columns for wages, new hire designation, and date of birth.

Pay Run Hours Report

Shows you who worked more than a specific number of hours in a given week, giving managers the tools to monitor hours according to your company policy. It also accommodates semi-monthly and monthly pay frequencies, which measure hours per month, rather than weekly.

Two additional reports are included to help keep track of all this information. These reports are available in version 2.2.63 and higher.

Alert Report

Provides important information after employee balances are updated each pay run. If there are any alerts to report, this report will display automatically after employee balances are updated. This report includes a reminder to print the Manager Action Report, which is the next step in a normal healthcare cycle. Please see below for more information on the healthcare cycle.

Manager Action Report

This report is for sending to your store managers to notify employees of coverage options and any actions that need to be taken. As part of a normal healthcare cycle, this report is printed after the Pay Run Hours Report and before Recording Employee Responses.

Another feature now available to Payroll/HR clients is a new Healthcare tab on the Employees screen with fields for the new healthcare information you’ll be tracking for your employees.
